We are hiring: merSETA Change Management Coordinator

The Change Management Coordinator is an individual who is responsible for assisting the Change Lead with planning, developing, delivering, and tracking change management deliverables including communications, training, stakeholder engagement, change impact assessment, organizational readiness analysis, coaching, resistance management, and change reinforcement.

The Change Management Coordinator will be assisting the Change Lead with coordination of change management activities and communicating organisation wide.

The suitable candidate will be coordinating programme change management activities as well as facilitating and implementing the change and communications plans & strategies. The Change Management Coordinator role includes the refinement, application and maintenance of the programme brand across all communications channels, including electronic and print media and the production and dissemination of appropriate communication materials and content. The Change Management Coordinator will report to and work closely with the Change Lead for Programme Phetogo.

Qualifications and Skills required:

• Communications, Media Studies or Marketing related degree.
• Three to five years’ experience in print and electronic communications;
• Excellent English spoken and writing skills and proven ability to generate content;
• Excellent computer skills, specifically in Google suite tools and Office 365;
• Good knowledge of various social media platforms, including background analytics;
• Aptitude for graphic design as it relates to communications would be advantageous;
• Ability to work independently and as part of team when required;
• Good interpersonal skills;
• Proven skills in organisation, including time management;
• Knowledge of the SETA and non-profit sector, particularly the education sector at all levels, in South Africa and globally would be an advantage
• Must have a South African ID or a valid work permit
• Must have a valid drivers license


Duties & Responsibilities:
The scope will include but will not be limited to:

Support the Programme Change Lead with the following:
• Successful project coordination /administration of agreed tasks and assignments related to Change Management
• Assist the Change Lead with all communication activities including taking ownership of set communication activities e.g. monthly News Updates publications and developing content for the merSETA Newsletter quarterly publications
• Work closely with merSETA and JET communications teams for alignment and distribution of communiques
• Content generation, production and dissemination of materials for electronic and print
communications platforms for both programmes (Programme Phetogo and PSET CLOUD) including the Programme Phetogo Intranet Page
• Champion Programme Phetogo brand and support the development and usage of branding and
collateral materials.
• Attend all Change Management meetings and assist in supporting Change Agents and ensure
seamless communication programme wide.
• Regular follow up with Change Agents and Change Sponsors
• Plan events and meetings and ensure participation of Change Agents and Change Sponsors
• Schedule and assist with training for NSDMS and any change related activities
• Maintain Change Management Logs for Deliverables
• Make logistical arrangements for Change meetings as required
• Ensure quality of presentations and reports for the Change Management Stream
• Assist with contracting and procurement as per project guidelines
• Assist in updating the Communications plan

Project-specific meetings/workshops
• Attend all change management meetings
• Scheduling of meetings timeously
• Agendas - prepare and issue before meetings
• Minutes - prepare, issue and ensure acceptance
•  Maintain project logs
• Ensure the recording of meetings
• Ensure completion of Attendance Registers during meetings

Filing system
• Ensure all Change Management related documents are stored as per merSETA/JET guidelines
•  Create and maintain filing system (on the team’s online repository)
•  Scan and upload signed change documents documents on the shared drive
•  Continuously update shared drive with Change Management Documentation


Reporting
• Track and update change management progress and change deliverables
• Assist with the preparation of presentations and progress reports
• Assist with tracking of change management expenses


Team Building
• Assist with team build activities
• Assist scheduling activities to boost the team morale


The suitable candidate will be required to render services to the following Programmes:
• Programme Phetogo
• PSET CLOUD Programme

The suitable candidate will be expected to execute on any other Change Management duties as assigned by the Programme Change Lead
